Happy Tech Tuesday! Today we go over: Impromptu Teams Meetings
Most of the time, your Teams meetings invites are given with plenty of time for planning. Occasionally, however, you may want to have an impromptu Teams meeting with someone inside OR outside of the firm. If the other party, outside of the firm, uses Teams, you can invite them to an impromptu meeting if necessary. This document will show you how to do that.
NOTE: This entire process must be done OUTSIDE of the Citrix environment. Please use your local Outlook and Teams instead of using the applications inside of Citrix. You will have many issues if you attempt to use Teams Meetings from within Citrix.
Starting an Impromptu Teams Meeting
- From the Microsoft Teams application:
- Click the [Calendar] icon on the left to open the Teams calendar.
- Click [Meet now] to open the Teams Meeting setup window.
- From the Teams Meeting setup window:
- Review and change any video and audio settings. You may not want your webcam to be running but you will need to have audio set up.
- Click [Join now] to join your impromptu Teams Meeting.
- To begin the invitation process, click the [Copy join info] button, which resembles two chain links. This will copy the Teams Meeting information to your clipboard.
- Switch to your locally running Outlook, open a new email, and paste the contents of the clipboard into the new email. From here, you can fill out the recipient email address, subject, and anything else you want to add to the body of the email before sending it out.
- Once the recipient gets the email, they simply click the link to join your impromptu Teams Meeting.
