Week 34: Updating Outlook Signatures With a New ShareFile Link

Outlook Signatures and ShareFile Links


Occasionally, clients will attempt to send you files via the ShareFile link in your signature only to find that the link is no longer valid. While there hasn’t been any explanation from ShareFile why this happens, this document will provide you a way to update your Outlook signatures with an updated ShareFile link.


How Do I Update My ShareFile Link?


To update your ShareFile link in Outlook, you must run this process for your Cloud as well as Local versions of Outlook, as your signatures are contained in both and you use both from time to time. This section describes the process to update a single signature in one instance of Outlook.


  1. In Outlook, open a new email and click on the Request Files button to begin the process.
  2. A new “Click here to upload files” text will appear in the body of the email.
  3. Copy the text to the clipboard.
    1. Select the line with the “Click here to upload files”.
    2. Right-click the selection and click Copy.
  4. Open the Signatures and Stationery window.
    1. Click the Signature dropdown button.
    2. Select “Signatures…” to open the window.
  5. Edit the signature.
    1. Select a signature from the “Select signature to edit” box. In this example, there is only one signature. You may have multiple signatures to run this process with.
    2. After making your signature selection, select the current “Click here to upload files securely” in your signature.
    3. Right-click the selection and click Paste.
  6. The new link is now pasted into your signature, but the font is likely incorrect and is missing the word, “securely”.
  7. Edit the text and font.
    1. Add the word “securely” to the line of text.
    2. Select the “Click here to upload files securely” text.
    3. Change the font to Verdana, size 11.
    4. Click OK to complete the editing process.
  8. If this is not the only signature you have to edit, please return to Step 3. Otherwise, you may close the new email window and you don’t need to save the draft.
  9. Remember that this process needs to be done in both the Cloud and Local versions of Outlook.
